Human Resources Assistant
Reporting to the Director of Human Resources this position carries out responsibilities in the areas of recruiting, activity planning, e-learning training development, employee communication, employee orientation and Executive level administrative assistance to the Senior HR Specialist, Director of HR, and VP of HR.
Duties:
- Responsible for all corporate new hire orientations and work with managers to ensure a complete and positive on-boarding experience.
- Responsible for recruitment of all corporate openings. Post positions on internal job board (WON), external job board when appropriate. Work with agencies when required.
- Assist Director of HR with recruitment for human resources and upper level divisional exempt positions.
- Administer and track new hire employee survey.
- Responsible for pre-employment MVR verifications using Internet data bases.
- Assist with the development of training materials and presentations as part of the e-Learning Management System (LMS).
- Partner with the Benefits Administrator to review leave of absence policies, programs, processes, and procedures. Review and update forms as needed.
- Administration of initial response to unemployment claims.
- Conduct exit interviews with all terminating corporate employees.
- Maintain corporate application flow log. Consolidate data from all divisions annually for affirmative action reporting.
- Assist San Diego HR Administrator with Employee of the Quarter presentation materials and meeting preparation and annual activities.
- Serve as Activities Committee coordinator and assist with annual company sponsored fundraisers.
- Assist VP of HR with bonus plan updates annually and other miscellaneous administrative projects.
- Serve as the department back-up to the Benefits Administrator.
- Create and distribute communication regarding new employees, exiting employees, job openings, and other information as needed.
- Conduct periodic HRIS audits and make necessary corrections.
- Utilize report capabilities out of HRIS to assist HR or other departments in administration of duties (eg. Bday lists, address, rosters).
- Assist in completion of tasks associated with Perfect Attendance Breakfast and employee recognition, including Service Award collection and certificates.
- Distribute compliance posting requirements to divisional contacts.
- Maintain Human Resources Department forms in electronic and paper files.
- Maintain accuracy and professionalism in all tasks performed; remain flexible and set priorities as required.
- Other duties as assigned.
Requirements:
- Previous Human Resources experience required.
- Previous experience working with and developing e-Learning Management System material preferred (i.e. Lectora, CourseMill, Flypaper, Snap).
- Demonstrated success and focus on process improvement, customer service, organizational skills, attention to detail, and the ability to prioritize in a fast paced environment.
- Excellent recruiting skills with the ability to interview and select qualified candidates.
- Excellent verbal and written communication skills with experience and ability to conduct presentations and other training.
- Working knowledge of current leave of absence laws, regulations, and policies.
- Proficient in of Microsoft Office products: Word, Excel, PowerPoint, and Outlook.
- Ability to develop and maintain effective relationships at all organizational levels.
- Ability to work autonomously and in a team environment.
- Flexibility and adaptability with changing roles and projects.
- Ability to handle sensitive and confidential issues objectively.
- Ability to lift and carry up to 20 lbs.
- Reliable transportation and ability to complete errands during working hours.
- High school diploma or equivalent required; Bachelors degree and/or HR Certification a plus.
